Document Retention Security

The actions that the users can perform on the data in Records Retention Console depend on the security rights they are assigned. Rights can be granted to any user or group.  

 

All administrative group members have access to "Record Retention Console".

 

To assign rights to a user other than administrative group.

 

In Records Retention Console, click on Security to open the Retention Security window.

 

Click on Add button to assign rights to a user or group.

 

Note: A user needs either "Create Records" or "Check Out Records" rights to access the Records Retention Console.

Check Out Records

A User with this right will be able to perform check out records operation and fill up the checkout details such as: checked out by, due date and whether to send email reminder.

 

Create Records

A User with this right will be able to create records for physical and digital documents.

 

Edit/Delete Records

A User with this right will be able to be able to create, edit as well as delete the records.

 

Create Batch

A User with this right will be able to create record batches for disposition. This user will automatically have the 'Create Records' rights.

 

Approve Batch

A User with this right will have authority to approve the batches for disposition. This user will automatically have rights to 'Create Records' as well as 'Create Batch' for disposition.

 

Dispose Batch

A User with this right will have authority to dispose approved batches.This user will automatically have rights to 'Create Records' as well as create and approve batches
