Manually Archiving and Unarchiving
Archiving declutters your document repository and search results by moving old or irrelevant documents to a separate archive location. While archived, documents can still be found by searching and including the archive in your search criteria. Manual archiving provides a flexible way to move specific documents to the archive section, allowing for greater control over the document lifecycle.
Documents can be archived using two methods:
•Manual Archiving: This provides granular control over which documents are archived.
•Automatic Archiving: Documents are automatically archived or deleted based on predefined policies. For more information on automation archiving, see Archive and Delete Policy.
•Policy Configuration: Only members of the administrator group have the authority to create and modify archive and delete policies. •Manual Archiving: Users with "New Version/Check out" rights on a document can manually archive that document. •Document Recovery: Only administrators can unarchive or restore deleted documents. |
To manually archive a document
You can archive one or more selected documents from the file system using the context menu.
•Locate the document you want to archive.
•Right-click on the selected document.
•Choose "Archive" from the context menu.
•Confirm the archiving action.
Note: Archived documents are moved to the archive section, maintaining the same cabinet-folder structure as the original location. However, access to the Archive section, by default, is restricted to administrators only.
Archived documents can be managed in the following ways:
•Retain: Keep them in the archive indefinitely.
•Delete: Automatically remove them using a deletion policy.
•Restore: Manually move them back to the "Documents" node.
•Search: Find them using the search feature."
To manually unarchive a document
•Navigate to the archive section.
•Choose the document(s) you want to unarchive.
•Right-click and selected "UnArchive" from the context menu.
•Confirm the unarchiving action.
When unarchived, documents are moved back to their original location within the "Documents" node.
Archiving Cabinets and Folders
You can also archive entire cabinets and folder structures using the same procedures as for individual documents. Simply locate the cabinet or folder you want to archive, right-click on it, and select "Archive." When archiving a cabinet or folder, all its contents will be archived as well.
