Private Law Practice
Tom, age 38, lawyer, private
practice.
Tom
is a typical lawyer. After working for a large
law firm for 10 years, he started his own private
practice 3 years ago. Tom is in general practice,
so he sees cases about anything and everything.
With such a wide variety of case types and clients,
he has come to a point where his manual document
organization system is just not doing the job.
It is becoming extremely cluttered with an overwhelming
amount of paper and digital files. He has always
wanted to go to a paperless system, but all of
the document management software he has researched
are too complicated and expensive. That is, until
he came across Docsvault™.
The first thing Tom did with
Docsvault™ was scan in all of his paper
documents. With the built-in scanner interface,
this portion of converting to a paperless office
was a breeze. Next, he took advantage of the
Custom Profiling and Properties features to organize
all of his documents by case, client, or any
other descriptive class that he wanted to create.
Now he can not only organize his documents and
files in a way that fits him best, but he can
also find these files instantly with the highly
functional search feature. He can search for
files based on case type, case date, client name,
descriptive notes he attaches to files, or words
within documents, provided that they are text-based
files. He also makes the same five to ten searches
on a regular basis. Instead of having to go through
and type in each search parameter over and over
again, Docsvault’s Save Search feature
means he can search those parameters with one-click,
saving him time.
But the benefits to Tom did
not stop there. Tom does things in an iterative
manner. He makes drafts, proofreads and revises,
and then makes further changes. He was having
problems knowing if he was working on the latest
version of his client’s documents. Now,
with Docsvault’s Version Creation and History,
he can make sure that the document he is working
on is the latest version. Every time he saves,
he can create a new version and add notes that
give him reminders about the changes he’s
made. He can even search for documents based
on the text in these notes! Version History allows
him to see the iterative process and track all
of the changes he has made.
But what happens if his computer
all of a sudden crashes? No problem. With Docsvault’s
effortless data backup, he can create backup
schedules to monthly, weekly, or daily by changing
his preferences. He can even do automated DVD
or CD backup without having to do anything but
make sure a disc is in the burner. And if he
ever has to restore these files, they come back
retaining all of the hierarchical structure and
information that he had assigned, so he doesn’t
miss a step.
Tom’s private practice
has become much more efficient and productive.
All of this has meant he has more time, and in
a profession where time is money, he has the
ability and confidence to take his practice to
the next level.
