Quick Tips

Our quick tips section contains brief tips that will help you use Docsvault features to the fullest. These tips cover a broad range of features that you will need to use on day-to-day basis. We firmly believe that a picture speaks a thousand words, which is why most of our quick tips are accompanied by a screenshot explaining the trick in words as well as picture.

Windows Active Directory use

If you have a domain-based network and like your AD users to use their windows usernames and password in Docsvault too, you need to use the Active Directory authentication method. Active Directory Integration allows seamless logins of specified active directory users into the Docsvault system.

AD users can also log in to Docsvault without login prompts simply by using their current Windows login information.

Quick Search

Use the search box on top of the tree view panel to search for folders. This is very useful when you have a deep and long folder structure. Example if you have hundreds of customer folders, scrolling to the right folder can be time consuming. Simply use the folder search box and locate the folder you are looking for instantly.

If you want to search for a file in a particular cabinet or folder, right click on the cabinet/folder in the tree view panel and select the Search option. This will open the Search form with the selected cabinet/folder already filled in 'Look In' option.

Search within lists

You can search within a single file from its top header search in recycle bin, audit query logs and OCR summary lists. This enables you to search for say a single file in a very long list of data.

You can stop sharing a saved search criteria created by you with other users by selecting Private option under Visibility section of that search's edit dialog.

Keeping original dates while importing

You can keep the original dates (date when the file was created or modified) when you import a file into Docsvault or keep the date when it was imported in Docsvault by checking the appropriate box for it in the import dialog.

Multiple File Changes

Docsvault allows you to change many properties for a group of selected files / folders. Simply select items to be changed and open its properties dialog from the right click menu. Then check the tab that you want to make change to and edit the necessary property. Docsvault will not change the properties for unchecked tabs.

Changing profile type assigned to documents

When any file or folder is copied or moved to some other location within Docsvault, the profile associated with it and all its corresponding property values will be carried with it also unless the destination folder does not have the current documents profile as one of its allowed profiles. However, Docsvault will prompt the user about this mismatch and if the user has proper 'Set Available Profile' rights on the destination folder, Docsvault can automatically add the new profile at destination folder

Selective index value updates

You can edit index values for multiple files by selecting all the files together and changing value even for a single index leaving values for other index fields the same. This feature is immensely helpful when you have to change just desired index values for large chunks of files.

If you wish to release a new version of document but continue to work on it, click on the check box labeled 'Keep files checked out' in the check-in dialog. This will make the current changes available to other users while you keep making further changes to any document.

Quickly scan & append pages to any PDF file

You can scan and append pages to any PDF in Docsvault simply by right clicking on the file and selecting 'Scan and Add pages' option.

Using barcode as page separator for multiple file scanning.

Docsvault can automatically separate out files if you choose that option in scan profile and insert a blank sheet of paper between pages that you want to separate out in different files. However some scanners include too many black dots and black borders and hence it's difficult for the program to identify that page as a blank page. In this case, Printing out a simple page with barcode can be used as a page separator. Please contact Docsvault support if you need a sample separator page with barcode.

Improving image quality of scanned files

You can change the Gamma setting by adjusting the slider in the Page Viewer of the Scan Form. This setting affects the conversion of light intensity into pixels. You can do this before saving the document into Docsvault. This will improve the quality of the image scanned.

Rubber band OCR – save to typing

Do you wish to automatically fill out text in file, description and profile values during scanning or simply from the Docsvault viewer or editor? Make use of the rubber band OCR which allows you to convert scanned images into text simply by drawing a selection over the desired text in that image.

Users can see the OCR status of a file from its Properties dialog box and Docsvault administrators can keep track of OCR count and Summary from the OCR node in Docsvault Server Manager.

Viewing OCR summary in server manager allows you to find out how many files failed to OCR or how many files were not marked for OCR. You can also mark files for OCR at a later date

Set reminders for yourself

You can setup regular/repeated reminder for tasks to perform within Docsvault by creating personal tasks within the system. You can even link documents with tasks to easily locate that file from the task dialog. To create personal tasksclick the 'Tasks' button on the main toolbar and then click on personal tab in the left panel.

You can also drag and drop files between folder sections. You can even edit the section of any file or folder from the 'General' tab of its properties dialog.

Disabling alerts for changes you performed yourself

Do you want to stop receiving email alerts for changes that you make yourself? You can opt for not to receive any email alerts if the changes are made by you by checking the "Do not alert me of changes that I make myself" in the alerts tab in your client options form (Tools > Options)

Flagging rights

You will be able to flag only those cabinets, folders and files on which you have 'New Version/Check out' security rights.

This restriction allows only authorized people to assign flags; this reduces chaos caused by too many people flagging documents as per their choice.

Docsvault Server maintains a log of all current logins under the 'Connected Users' node. This log will show the username, computer name, computer IP address and log-in time for all current successful logins.

Applying changes made to folder structures throughout Docsvault repository

If you make heavy use of the Folder Template feature in Docsvault, having the ability to change the structure in future and apply those changes throughout the repository can be priceless. That is why Docsvault gives you an option to apply any changes (expect deletes) made to a folder structure to be seamlessly applied to all folder structures created using that folder template throughout the repository.

Sorting & Column width

You can quickly sort the listing in ascending and descending order by clicking on a column header in the List panel.Docsvault remembers a user's sorting preference for each folder so all Docsvault users can sort columns in different folders according to their own needs.

Similarly Docsvault also remembers the widths of different columns (Fields) per user so different users can have different column widths for their own logins.

Filter

You can filter data and list only the documents that are relevant to you in Docsvault. By filtering the data, you can display only those rows that satisfy the conditions specified in the column.

  • Click on the funnel icon on the column header.
  • Select 'Custom' and apply the condition you want to filter.
To remove the filter, click on the funnel icon on the Flag column and select 'All'.

Print the current file list

You print the current file list from File > Print. You can even email it as attachment in the format of PDF or Graphic file.
