Docsvault’s Flexible User Licensing Options

When it comes to licensing, one size fits all approach does not work for every organization. We understand this fact and therefore Docsvault offers many different types of user licensing options. Flexible User licensing cannot only take care of your needs but also take care of your budget. Here are the types of licensing models that Docsvault offers.

Standard Named and Concurrent Users:

The following Standard User Licenses are the main user license types that may have full rights within the system such as Create, Edit, Overwrite/ Delete, Route Documents and more. You can increase or decrease the security rights assigned to such users as needed. Note that the base system already includes 5 Named User Licenses but you may addon any number of Named and/or Concurrent licenses to create a hybrid license structure.

Named user licenses are tied to individual usernames and are licensed to be used by single user/individual. Users with this license type have their own dedicated connection license and can login to the Docsvault system at any time.

Concurrent User License allows multiple users to share a common pool of connection licenses. This type of licensing is useful when you have non-frequent users who can share a connection license and do not need a dedicated connection license. For example, if you have 5 concurrent licenses, you may create many more user logins against these licenses. However, only 5 of these users will be able to connect to the Docsvault repository at any given time.

Read-Only Users:

Read-Only license is for internal users who just need to open and read documents in Docsvault. This license offers List, Preview and Read rights only. Read-Only users can access documents via Docsvault Desktop and Web clients as well as mobile device apps. Since these users are essentially internal users, they can access the entire repository if desired and they can also view internal information like document notes, document profiles and document tasks associated with documents.

External Users:

External user license, as the name suggests, is for people outside your organization such as clients, vendors and business associates. It enables external users to upload or download files in Docsvault. This license allows you to share unlimited folders along with their subfolders and files with external third party individuals. However, since they are not internal users, they have limited access to internal features of Docsvault. External users access their shared folders using a simple Web Browser and do not need Docsvault desktop clients. Read more…

What it means for you?

Docsvault provides several user and system level rights including creating files and folders, version creation, export, delete, run audit queries, so on and so forth. However, not everyone in your organization needs all these rights. Sometimes, all a person has to do is access certain documents and forward it to a concerned person. Buying a named license, affording them all rights does not make sense in this scenario. So also, there are many external users such as clients and vendors with whom you need to share your documents regularly but you can’t purchase an all-inclusive license for them. Concurrent user licenses are another type of license permitting users to use a common pool of connection licenses. Docsvault offers you the freedom to buy different kinds of licenses, which will take care of your various user needs and at the same time help save you some money.
