Indexing Options

 

This is not an optimization process. When you create an index for the first time, you build a data flow that extracts and indexes data from its original data source. If you want to re-index the data at any time, Docsvault will reconstruct the index catalog from original data source. You re-index data when you suspect unusual search results.

 

The list of the files that the Docsvault search engine can automatically recognize, index and search the contents of documents are:-

ASCX, ASM, ASP, ASPX, BAT, C, CMD, CPP, CSS, CXX, DEF, DIC, DLL, DOC, DOT, H, HHC,  HPP, HTA,  HTM, HTML, HTW, HTX, INF, JPG, MDB, MSG, ODC, PNG, PPT, RTF, STM, TXT, XLS and XML.

 

To have a full text indexing on a file with specific extension you need to have it's corresponding IFilter component installed on the machine where Docsvault Server is installed.

 

You can also install third party filters to parse other file types, e.g.:

 

Adobe PDF IFilter 6.0 [adobe.com]
Microsoft XML IFilter [microsoft.com]
Microsoft RTF IFilter [microsoft.com]
Microsoft Visio IFilter [microsoft.com]

Option: Do not index file contents

 

Use this option to prevent Docsvault Server from indexing the contents of files that are imported into Docsvault in future. This option does not affect the previous indexes but will just stop adding information to the indexes for new documents imported into Docsvault.

 

 

Warning:

If this check box is enabled, Docsvault will not be able to search for future documents imported into Docsvault based on their content.

 

 

 

Rebuild Index

Click on the button 'Rebuild Index' to start the process of re-indexing. Before re-indexing the data, you must ensure that all users have closed out of the Docsvault program.

 

 

Re-indexing might be a time consuming process depending on the number, type and size of files stored in your repository.

Audit Query

Audit logging can be configured to record all actions for all files or selective actions on specified documents. These records can then be queried by the administrator or authorized users to trace the events performed on documents.

Querying Audit Trail by Dates

On the Tools menu, click on Query Audit Trail to display the Event viewer dialog box.
To query for events occurring between 'specific dates'.
Click the check box next to Trail Date From to set the criteria date wise.
Specify a date range.
Now click on Show Audit Trail button  to get the audit trail result for selected dates.
If you want to query for 'all dates till today', deselect the check box.

 

Querying Audit Trail by User Name

If you would like to see a list of actions done by a particular user.

On the Tools menu, click on Query Audit Trail to display the Event viewer dialog box.
Select the user name from the drop down box next to Filter by User.
Select the event from the drop down box next to 'Events' .
Now, click on Show Audit Trail button. 

 

Querying Audit Trail by Events

To query for action(s) done against the files.

On the Tools menu, click on Query Audit Trail to display the Event viewer dialog box.
From the drop down list next to Events, select the particular event or select 'Show All' to view all the actions against all the files.
Now click on Show Audit Trail button. 

 

To get a hard copy of audit trail click on Print.

 

Purge Option

To permanently remove old and unneeded Audit Log data, click on the Purge Option link.
In the 'Audit Log Purge Options' dialog box, select the date. This will delete all the events that has occurred before the specified date.

You can also view this query by selecting Query Audit Trial in Docsvault client.

 

 

 

 

OCR Options

 

You can turn off automatic analysis and OCR of newly scanned PDF or TIFF by choosing the appropriate options.

Purge Document

File purge allows you to permanently delete files created or modified before specified date from your Docsvault repository.

Warning:

When you select this option, all tasks and audit log related to the files are permanently deleted.
