Starting up scanning interface

 

Scanning document feature allows you to scan, process and store documents within Docsvault repository.  Docsvault is designed to work with all TWAIN compatible scanners.

 

Place the document in the scanner according to the scanner instructions.
From the tree view right click on a cabinet/folder. From the popup menu, select Scan Docs.

Provide a file name and description.
Select the destination, where you want to save the scanned document in Docsvault.
Select an appropriate scan profile with predefined settings from the 'Profile' drop down..
Select the scanner's interface.
If you want to OCR the scanned document, select the checkbox next to 'OCR scanned files'.
Set the parameters for scanning and then
Click Scan to scan the document.

When the option for OCR is checked in the scanner form and you scan in PDF format Docsvault will automatically OCR and convert that file into a searchable PDF once the scan is completed. Note that the OCR process is independent of the scanning process and hence it might take few minutes before the scanned in file is OCRed in the background.
 
Once the file is OCRed the recognized text is embedded as a hidden text layer behind the scanned image trying to match the position of each character with that in the scanned image.
 
Searching for this OCRed text in Docsvault's search function is possible through the indexing process. To include PDF files in the indexing process you will need to install Adobe's free iFilter 6.0 on the PC on which the Docsvault's server software is running. Note:

OCR feature will enables you to convert scanned paper documents into searchable PDF file. 

 

 


 

 

 

The OCR process runs in the background as a separate process and hence it might take few minutes before the scanned PDF is converted to searchable PDF. So also note that you will need Adobe's iFilter 6.0 on the server side in order for Docsvault to be able to index the data inside PDF files
